Frequently Asked Questions
When projects involve sensitive information and formal scrutiny, it is natural to seek clarity.
These are the questions we are asked most often, covering process, scope, security, delivery, and working with us.
Process and Production
What information do you require to begin?
We require a project summary and a clear outline of your objectives. Where relevant, we may liaise with the Expert Witness or technical specialist. This enables us to assess the scope of work and recommend appropriate next steps, including an outline of the proposed fee structure.
Do you offer a standalone planning or analysis phase?
Yes. Our Scope stage can be commissioned independently for complex matters. This allows us to review the material and advise whether visualisation will support the objectives before any production work begins.
Are site visits included in the fee?
Yes, when they are part of the agreed production. Additional visits outside the original scope, or full-day meetings that extend beyond the initial agreement, are charged at a day rate that will be confirmed at the outset.
What happens if the brief changes mid-project?
If circumstances change, we will provide a statement of completed work. If the time spent exceeds the initial deposit, the difference will be invoiced separately.
How long does a typical project take?
Most projects are completed within six to twelve weeks, depending on complexity. This timeframe relates to active production and does not include periods awaiting client feedback, expert review, or formal approvals.
Is your work reviewed by technical experts?
Yes. All material is reviewed and verified by the Expert Witness or an appropriate specialist to ensure technical accuracy throughout the process.
Fees and Revisions
What are your fees?
Every case is unique, so fees are determined once the scope is agreed. We request a fifty percent deposit at the point of engagement. The remaining fees are invoiced at defined stages, with the final balance due thirty days after completion of the project.
How are revisions handled?
Revisions that remain within the agreed scope are included. If requested changes introduce new requirements or extend beyond the original brief, additional fees may apply. Any further filming or new requests will be costed and must be approved before work continues.
Security and Delivery
How do we review our project?
You will receive a secure link and password to review ongoing work via a hosted video service. This remains active for sixty days following project completion and can also be used to download final versions.
Do you archive the final outputs?
Yes. All completed projects are archived for potential future use. File structures are maintained for retrieval, although software developments may affect compatibility over time.
What happens to our reports and case documents once the project is complete?
Unless instructed otherwise, all documents and material you provide are securely deleted thirty days after final project delivery.
Legal and Confidentiality
Do you sign NDAs or production statements?
Yes. We always operate under NDA for live projects. Once a trial or judicial process has concluded, and unless an NDA or specific client instruction prevents it, anonymised versions of completed work may be used for demonstration purposes. All identifying information is removed to protect confidentiality.
